Get started with BDDB-BI with Suntoyo software

(Better Data Driven Business Business Intelligence Desktop tool)

Welcome to the getting started guide for BDDB-BI Desktop tool.

This guide shows what BDDB-BI can do, and how to use data to generate insights to enhance your business intelligence with Suntoyo software

Pre-Requisites

Before you start, the following hardware and software is required to support this tool.

PC Minimum Requirements:

1. Operating System: Windows 10 or above   

2. CPU: 2 gigahertz (GHz) 64-bit (x64) processor 

3. Memory (RAM): 4 GB   

 

      

Software Requirements:

1. Microsoft Excel 2016 or above  (Required license)

2. Microsoft Power BI Desktop (Free)

          To download visit,

3. File extraction and compression tool such as 7-Zip (Free)

4. Suntoyo Interface (SI) (Pre-Installed in POS system)

         SI tools automatically export daily sales files at a

         scheduled timing into 5 predefined path variables.

3 Steps guidance to help you process and interpret data

The BDDB tools, training and resources aim to enable:

  • Collect necessary data safely;

  • Combine data across systems with adequate protections; and

  • Share data externally with partners and suppliers safely, in line with the requirements of the Personal Data Protection Act (PDPA) obligations.

Step 01 Select a BDDB-Tools

Open any one of the 5 BDDB tools that matches your requirements in the BDDB folder located in your local drive storage.

(A) For this example, the file is located at C:\BDDB

(C) Next, open  BO_1 Data Template

Step 02 Validate data integrity

Click on 'Enable Content' so that you can edit the file, then click on "Data" worksheet.    

    

     

If you have more than one source files,   

a) Click on "Import Multiple Data Files".   

b) Select "BO_1-Data Folder" and click "OK".  Data from all the source files in the "BO_1-Data Folder" will be imported into "Data" worksheet.

else If you have only one source file,    

a) Click on "Import Single Data File".   

b) Select the file to be imported and click "OK".

Once the source file(s) is successfully imported into "BO_1-Data Template.xlsm", click on "Validate Data" to check if the imported data aligns with the "Data Format" as indicated under "DATA REQUIRED" section. 

Note:  The cell(s) will be highlighted if the data does not comply with the required "Data Format".  Check the colour indicator table at the top of the worksheet to understand the error.

Step 03 Generate Insight

After you have completed preparing the data and would like to generate the dashboard,   

A) Click "Copy File Path" in "BO_1-Data Template.xlsm".

B) Open "BO_1-Dashboard.pbit" and paste (i.e. press Ctrl+V on your keyboard) the copied file path into the PowerBI Desktop when prompted for the location of the data template.

C) Open "BO_1-Dashboard.pbit" and paste (i.e. press Ctrl+V on your keyboard) the copied file path into the PowerBI Desktop when prompted for the location of the data template.

Frequently asked questions :

Q1. My business transaction data file is in .CSV format. What should I do?

If your business transaction data file is in .CSV format, just import as usual by following the steps indicated in the "Instruction" tab.

Q2. What should I do if my transaction data file(s) is in Google Sheet format?

If your data are in Google Sheet, do Download it as Excel or CSV format in order to use this tool. To download as Excel format in Google Sheet go to File > Download > Microsoft Excel (.xlsx). To download as CSV format in Google Sheet go to File > Download > Comma-separated values (.csv).

Q3. I have some cells that are highlighted as yellow (i.e. duplicated rows). Is there an easy way to remove these duplicated rows at one-go?

Click on the drop-down icon of the affected Data Item, go to "Filter by Color" and select Yellow color. All the data rows that are highlighted as Yellow will be filtered. Select & Highlight the affected rows, right click and select Delete.

This method of "Filter by Color" can also be applied to other color indicators to help you filter out the affected data records that requires your intervention. 

Q4. Why is the cells highlighted as Pink and what do I need to do?

You do not need to do anything if the Data Item is indicated as Optional under the Data Required and you do not have the required data. However, if the Data Item is indicated as Mandatory under the Data Required, you will not be able to generate the dashboard if you do not have the required data.

Q5. Can I input my transaction data directly into the BO_1-Data Template directly?

Yes, you can! Just ensure that you have the required Data Items as listed under the "Data Required" section especially the ones marked as Mandatory. Without these Data Items, the dashboard(s) will not work.

Once you have complete inputting your transaction data into"BO_1-Data Template.xlsm", click "Validate Data" to check if the transaction data aligns with the Data Format as indicated under the "Data Required". The cell(s) will be highlighted if the data do not comply with the Data Format. For example, if there is a duplicated row of record, the cell will be highlighted as yellow. You will need to remove the extra row of record.

After you have completed preparing the data, click "Copy File Path", then "Save" and "Close".

Open "BO_1-Dashboard.pbit", Paste (i.e. press the Ctrl + V on your keyboard) the copied file path into the Power BI Desktop when prompted for the location of the Data Template.

Q6. What is the difference between "Import Multiple Data Files" and "Import Single Data File"?

"Import Multiple Data Files" allows you to import ALL the transaction files that you have deposited at "BO_1-Data Folder". It is recommended

to use this feature if you have multiple transaction files AND this is the first time you are using the BDDB "Business Intelligence" tool.

"Import Single Data File" allows you to import/ add only ONE transaction file that you have deposited at "BO_1-Data Folder". It is recommended to use this feature if you only have one transaction file OR if you want to append new transaction data on top of what you have previously prepared in the "BO_1-Data Template.xlsm".

Q7. No pathname is pasted on the pop-up box when I opened "BO_1-Dashboard.pbit".

Please go to "BO_1-Data Template.xlsm", click "Copy File Path". You should see a pop-up message "File location has been copied". Open "BO_1-Dashboard.pbit" and paste (press Ctrl + V) when prompted to enter the location of the Data Template.

Note: Please do not perform other activities that involve "copy and paste" after you click on "Copy File Path".
